To maintain communications with both patients and clinical staffregarding scheduling issues.Essential Responsibilities1. Provides excellent customer service to patients, co-workers, physiciansand clinical staff. Greets customers on the telephone, assesses needs andprovides information and/or service requested. Directs patient calls toappropriate departments.2. Collects all necessary patient demographic, insurance and clinicalinformation and updates changes when needed.3. Schedules new patient appointment using symptoms and clinical informationcollected. Determines which physician and/or clinic can best serve thepatient. Schedules patient appointments for physician and ancillary servicesin a timely and accurate manner. Accurately update and maintain patient waitlist.4. Ensures that patient's insurance allows them to be seen with scheduledphysician at National Jewish.5. Refers patients to financial counseling if necessary.6. Ensures referrals for services are obtained. Communicates with utilizationmanagement if necessary to ensure that services are authorized prior to thescheduled appointment. Accurately update and maintain waitlist.7. Enters physician orders and clinical details into the Registration orderentry system in a timely and accurate manner.8. Notifies admissions department of need for direct patient contact andfollow up.9. Communicates with clinicians to ensure that patient appointments areaccurately ordered and scheduled. Manages physician schedules as assigned toensure that schedules are full and accurate.10. Maintains communications with patients to keep them apprised of the statusof their appointments. Acts as a problem solver with patients, cliniciansand departments to ensure that scheduling is performed with the highest levelof customer service. Monitors all aspects of individual patient schedules forcontinuity of appointments and appropriate prerequisite appointments.11. Self reviews scheduled appointments to ensure account is correctly set up.Serves as a backup for other personnel in the Adult Administrative ServicesDepartment.12. Maintains appropriate level of knowledge regarding NJH clinicaloperations, insurance procedures, and clinical terminology and codingpractices. Maintains appropriate level of expertise with the Registration andScheduling systems.13. Performs all other duties as assigned.General Responsibilities1. Performs, as directed, safety compliance and uses Personal ProtectiveEquipment (PPE), as needed.2. Participates in Quality Assessment (QA) and Quality Improvement(QI) programs, as directed.3. Ensures compliance with The Joint Commission and all other Federal, Stateand Regulatory Agencies.4. Responds promptly and sincerely to customer's needs, requests andconcerns via all communication forms using easily understood language andrefraining from using inappropriate language and non-verbal gestures.5. Increases customer service knowledge, skill and ability by participatingin department and institution-wide specific programs.7.
