The Patient Access Scheduler is responsible for the smooth operation and flow of calls handled within their scheduling areas. This includes, but is not limited to pre-registration, scheduling, obtaining accurate demographics, providing exam preparations, and collection of appropriate authorizations/ICD codes in a courteous and efficient manner. Other duties pertinent to optimal customer service, patient flow, and efficient staff utilization are also expected.

The Patient Access Scheduler may be assigned to work in one or more of the following scheduling areas:

  • Outpatient Imaging

  • Outpatient Adult Rehab

  • Outpatient Services Pre-Registration

Primary Responsibilities:

  • Interview patient over the phone to obtaindemographic, billing and insurance information

  • Conduct pre-registration of patient during thescheduling call whenever possible

  • Schedules new and existing patients for appropriateappointments depending on area served

  • Explain exam/procedure preparations

  • Maintains appropriate notes for follow-up invarious systems

  • Coordinate with doctors’ offices, patients and departmentsto work with add-on patients in a timely manner

  • Exercise good judgment in referring complexsituations to the appropriate leadership or clinical team member

  • Works with clinical staff in scheduling area toassure appropriate and efficient use of daily schedules and resources

  • Assist with answering incoming calls into the area

  • Responsible for using designated software/processto verify patient's insurance eligibility and obtain benefit information to usein point of service collections

  • Employees are expected to comply with allregulatory requirements, including Joint Commission Standards

  • Adheres to Standard Precautions as appropriate,which may include:

  • The use of protective barriers, as appropriate(e.g., gloves, masks, gowns, pocket masks, and/or safety glasses)

  • Handling and disposing of infectious wasteappropriately

  • Hand washing as appropriate

When applicable, employees must be able to adjust the essential functions they perform appropriately to the age of their patient/customer. Employees must demonstrate knowledge of the principles of growth and development and the knowledge and skills necessary to provide for the primary population of patients served in the department. Employees demonstrate the ability to alter care and patient/family education based on the age or developmental level of the patient.

  • HighSchool Diploma or equivalency required

  • 1year of customer service and/or call center experience required


  • Medical Terminology course preferred

  • Experiencewith EPIC preferred

  • Basicknowledge of insurance, coding, and authorizations preferred
