Professional Research Assistant - Enrollment Coordinator

The Colorado Center for Personalized Medicine (CCPM) at the University of Colorado Anschutz Medical Campus, in partnership with UC Health, is enrolling participants into the CCPM Biobank Clinical Research Study. The Biobank serves as a resource for researchers to study the association between genetics and health, and is generating genetic information that can be returned to consenting participants. To date, the CCPM Biobank has consented >150,000 participants and collected >60,000 samples. Future goals are to expand enrollment opportunities to increase volume (to reach approximately 100K samples per year) and enhance diversity of the Biobank population to further facilitate research and return of genetic results to participants.

CCPM is seeking a Professional Research Assistant to serve as the Biobank Enrollment Coordinator to support efforts to enhance participant enrollment and sample collection for the Biobank Clinical Research Study. He/she will interface and collaborate with UCHealth clinical and technical teams, CCPM Biobank staff, and will be expected to regularly report on progress/challenges encountered with enrollment process.

Examples of Work Performed:

  • Coordinator will work under direction of UC Health Program Manager and with UC Health Project Coordinator to implement strategies for increasing Biobank consents and sample collection, and monitoring accrual goals:

o Assist in training clinic staff on consent and sample collection (e.g. in-person presentations and/or develop on-line training resource)

o Assist in training consenters for targeted enrollment

o Provide educational materials to clinics as requested (flyers, posters, video)

o Develop/implement alternative means for collecting samples outside of next clinical visit

o Develop/implement protocol for collecting new biospecimens (serum/spit samples)

o Monitor consent and sample collection rates

  • Serve as principal liaison with Biobank laboratory (and UCH) on issues related to consent and sample collection:

o Assure samples have proper consent

o Troubleshoot problems as they arise

o Monitor sample collection status (ordered, cancelled, received)

o Attend Biobank laboratory team meetings

  • Manage compliance issues (with assistance/oversight from CCPM compliance specialist):

o Assure consents and protocols are updated and are in compliance with COMIRB

o Prepare protocol amendments to reflect new strategies for enrollment

o Document and submit unexpected adverse problems to COMIRB

o Monitor that consents are properly captured in EPIC

o Assure that Biobank lab is notified of samples on withdrawn participants that should be discarded

  • Manage participant inquiries:

o Questions regarding consent and sample collection (via phone/email/website)

o Withdraw requests – document in patient chart and Biobank Participant Database

o Perform chart review in EPIC as needed to troubleshoot problems

  • Maintain documentation of processes and procedures around consent and/or sample collection

  • Represent CCPM in UCH Technical Team meetings

o Respond to emerging issues around consent/samples as they arise

  • Attend/contribute to Biobank Advisory Committee Meetings

  • Perform chart review in EPIC as needed

  • Provide regular reports on activities/progress/challenges

Qualifications

Minimum Qualifications :

  • A bachelor’s degree in clinical- or health-related field such as public health, biology, clinical science, social science or a related field from an accredited institution

  • 1-3 years of professional level experience working in a clinical laboratory, hospital or medical clinic, or in a clinical or population-based research setting

  • Experience working with electronic health records (e.g. EPIC)

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Knowledge of clinical work-flows, health systems culture and policies

  • Experience consenting participants into a research study

  • Experience with data management programs (MS ACCESS, REDCap, EXCEL)

  • Spanish speaking

  • Some project management or coordinator experience

Competencies:

  • Basic knowledge of clinical research principles and methods, and human subjects research

  • Proficient in Microsoft Office Suite

Organized and detail oriented

Clinical acumen

Ability to communicate effectively, both in writing and orally to diverse groups

Ability to establish and maintain effective working relationships with a wide variety of stakeholders.

Excellent problem solving and the ability to work with a multidisciplinary team

Ability to collaborate and work efficiently with limited supervision

Outstanding customer service skills

Supervision Received:

Biobank Enrollment Coordinator will report to the CCPM Associate Director for Patient Engagement and to the the UCHealth Program Manager.
